The Challenge
KOCA, a club based in Gurgaon, had bookings, guest data, event details, and vendor information scattered across disconnected spreadsheets and tools — no single source of truth for the business. This meant every marketing decision was effectively a guess: without consolidated data, there was no real way to know who was actually walking through the door, what nights performed best, or who to target. Hiring a third-party CRM provider or data platform was ruled out early — KOCA didn't want sensitive guest and business data leaving their control.




Our Solution
We approached this as three connected phases, not three separate projects. First, we built a fully custom CRM using Lovable and Hercules — consolidating bookings, guest data, event schedules, and vendor information into one system KOCA owns outright, with zero third-party data exposure. Second, once that data existed in one place for the first time, we used it to identify who KOCA's actual highest-value guests were — the nights, demographics, and audience segments that were genuinely driving revenue, rather than who we assumed the audience to be. Third, with a real data foundation and a clear picture of the right audience, we built and scaled performance marketing campaigns across Meta and Google specifically targeting that audience, with every lead flowing back into the CRM to keep sharpening the picture over time.



The Outcome
KOCA now runs on a single consolidated system for bookings, guest data, and events — and marketing decisions are made from real data, not guesswork. Performance campaigns built on that data captured 1,000+ leads in the first month alone, and because every new lead and booking flows back into the same CRM, the picture of who to target keeps sharpening as the engagement continues. This is genuinely ongoing: the CRM, the audience targeting, and the campaigns all improve together, each phase feeding the next.
